We don’t wait for candidates to apply. We build a targeted talent pipeline from the ground up. For each search, we map your market by identifying all veterinary hospitals within a defined radius (often 30–100+ miles), catalog those clinics, and then identify the veterinarians and team members working within them.

From there, we compile a structured database of candidates (often hundreds of individuals) based on role type, experience level, and likelihood of movement. This becomes a working pipeline that we actively engage, not a one-time list. Your search is powered by a real-time view of the market, not just incoming applications.

Traditional recruiting is often reactive: post a job, review applicants, and move on. Our process is proactive and structured from the start. We build a targeted pipeline by mapping your market, identifying veterinarians and team members in your region, and reaching out directly and multiple times to generate real engagement, not just visibility.

We also support the pieces that directly impact your ability to attract and secure the right candidate, from developing and refining your job description to advising on competitive compensation and benefits. At the same time, we manage the details that keep hiring moving: responding to candidates within 24 hours, coordinating interviews, following up after each interaction, and guiding next steps through offer and onboarding, including background checks and final coordination.

Most importantly, we approach hiring as a partnership, not a transaction. We’re not here to wait for a candidate to appear and fill a role as quickly as possible. We’re here to help you build the right team, with the right fit, through a process that is consistent, strategic, and designed for long-term success.

No. In most cases, applicants make up a small percentage of viable candidates. We actively source passive candidates by identifying individuals currently working in nearby hospitals and reaching out directly with tailored messaging.

This includes reviewing clinic websites and LinkedIn profiles to identify doctors, prioritizing candidates based on experience (typically 2–10 years), and initiating outreach that references their background and location. These are candidates who would never appear in your applicant pool but are often the strongest long-term hires.

Outreach is not a single message. It’s a structured, multi-step process. Each candidate receives an initial personalized message introducing the opportunity, a follow-up within a few days if there is no response, and at least one additional touchpoint within the same week.

We run outreach campaigns multiple times per week across platforms like Indeed and AVMA, while also managing replies from automated campaigns. Every response, interested or not, is logged and tracked so no candidate falls through the cracks.

We respond to interested candidates within 24 hours (often sooner), because speed directly impacts whether you secure the conversation. If a candidate replies and doesn’t hear back quickly, they are far more likely to disengage or pursue another opportunity.

We also follow up multiple times within a one-week window if a candidate goes quiet. We’ve found that, historically, many strong candidates don’t respond to the first message. Consistent follow-up is what converts interest into real conversations.

Once a candidate engages, we immediately move into coordination and qualification. This includes responding to their questions and confirming interest, scheduling phone or Zoom interviews, conducting initial conversations and documenting detailed notes, and coordinating availability between candidate and hospital. After each interview, we follow up with both sides within 24 hours to gather feedback and determine next steps. This ensures momentum is maintained and decisions don’t stall.

We maintain consistent communication from first contact through final decision. That includes multiple follow-ups if candidates become unresponsive, check-ins after interviews to answer questions and reinforce interest, coordination around on-site visits, including scheduling and preparation, and post-interview follow-up within 24 hours to keep both parties aligned.

This level of engagement is critical. Without it, candidates often drop out of the process or accept other offers.

We manage the process on your behalf so you don’t have to chase updates or coordinate logistics. From reaching out within 24 hours of onboarding to begin your search and following up every other day during job ad development until approved, to coordinating interview schedules and updates and providing timely feedback loops after each candidate interaction.

Our role is to keep the process moving forward consistently, even when your day-to-day responsibilities make it difficult to prioritize hiring.

We actively maintain and grow your pipeline throughout the search. On a weekly basis, we:

  • Add new clinics and candidates to the database
  • Revisit previously contacted candidates
  • Expand into additional geographic areas if needed
  • Refresh outreach efforts with updated messaging

This ensures your search continues to build momentum instead of slowing down after the initial push.

Because without this structure, most hiring efforts stall. Job posts go unanswered, strong candidates slip through the cracks, and follow-up becomes inconsistent. Our process ensures that your opportunity reaches significantly more candidates, interested candidates are engaged quickly and consistently, interviews are coordinated efficiently, and momentum is maintained from first contact through hire.
